How to Save any MS Outlook Email as PDF

Some emails are important and they are to be saved. Saving an email is easy when it comes to Outlook. But saving a mail in PDF format can be a little tricky for most users. Many users wonder whether there is any way at all that we can directly save an email in PDF format straight from Outlook. Well, what’s not possible when we are here to help?

Section 1: How to Save an Email as a PDF File in Outlook Application

Step 1: Firstly, double-click on the email that you want to save as a PDF file. Once the mail opens in a separate window, click on the FILE tab from the top ribbon.

Step 2: On the left pane of the window, click on the Print tab.



Now on the right side, click on the dropdown button associated with the option Printer.

Step 3: From the list of options that get expanded out, click on the one that says Microsoft Print to PDF.

Step 4: Once the printer is set to Microsoft Print to PDF, proceed to click on the button Print as shown below.

Step 5: A small window would now appear that says Printing.

Step 6: You will be able to see the Save Print Output As window as shown below.

Navigate to the location where you want to save the pdf file at.

As next, give a name to your pdf file under the File name field.

The Save as type field would automatically be populated as PDF Document (*.pdf).

Once you are all done, hit the Save button.

Step 7: That’s it. You can now navigate to the location where you have saved your PDF file and then double click on it to view it.

Section 2: How to Save an Email as a PDF File in Outlook Web Version

Step 1: Launch the Outlook web version and click on the mail that you want to save. Now on top of the mail, you would find a 3 dots icon for more options. Click on it.

Step 2: From the list of options that expand out, click on the one that says Print.

Step 3: On the window that follows, click on the Print button at the top.

Step 4: The print settings would now be open before you.

Under the Destination dropdown button, choose the option Save as PDF.



Once done, hit the Save button at the bottom.

Step 5: On the Save As window, navigate to the location where you want to save your file at.

Give a name to your file under the File name field.

Once you are all done, hit the Save button at the bottom.
